We begin with a Discovery Call to learn more about your practice, your goals, and the areas where you need support most.
This is our opportunity to make sure we are the right fit for your team and answer any questions you may have.
After your Discovery Call, you complete your agreement and ACH forms found here. This helps speed up the onboarding process and allows us to reserve your team placement quickly.
📝 Complete the Business Associates Agreement
The General Services Agreement covers duties, confidentiality, HIPAA compliance, and your Business Associate Agreement.
After it is completed, we will generate a personalized manual for your practice. We meet to review your manual and confirm your setup in the next step.
We gather billing information, although no billing happens until after your initial 30 day risk free trial. If you are happy with your service at the end of one month we will bill you, preferably via ACH.
If you choose to use a credit card, we will add a 2% processing fee to your monthly bill.
IIf you are not happy, you are not billed and can keep your customized manual, free of charge.
Next, you will meet with Shantell, our Director of Operations.
During this meeting, Shantell will:
1) Review and assist with your customized Live Manual
2) Review phone set up for your practice
This step helps us create a seamless experience for both your team and your patients.
Once onboarding begins, we carefully assign a dedicated team to your practice based on your specific needs and office style.
After your team is assigned, we schedule a training meeting with both your office and our team.
During training, we review:
● Scheduling protocols
● Patient communication preferences
● Call handling
● Texting and email workflows
● Practice expectations
● Daily operations
This ensures everyone is aligned and fully prepared before launch.
Once training is complete, your practice is officially ready to go live!
From contract signing to go-live is typically 1-2 weeks.
From there, our team begins supporting your office with professionalism, warmth, and excellence while helping create an exceptional patient experience.
